Passpoint Consulting Ltd is the data controller for the personal data described in this policy. We are registered with the Information Commissioner's Office (ICO) as a data controller. We may collect your name, email address, phone number, and business information submitted through our diagnostic form. Your phone number is optional — we ask for it only so we can reach you about your report, and your report is delivered by email whether or not you provide it. We also log IP address information where needed for consent records and service security.
We process this information to generate diagnostic reports, schedule consultations, communicate about your enquiry or purchase, and deliver the services you request from Passpoint.
Our legal bases for processing are contract performance where we need your data to provide a requested service, legitimate interests where we need to operate and improve the business responsibly, and consent where you choose to receive marketing communications.
Diagnostic data is retained for 24 months from the date of last engagement. After that point, it is permanently deleted unless we are required to keep limited information for legal, tax, or regulatory reasons.
We only share personal data with carefully selected service providers where it is necessary to operate the service. This includes providers supporting payment processing, email delivery, secure hosting, authentication, and AI-assisted document analysis and report generation. Where you have opted in to marketing, this also includes our email marketing provider. Uploaded documents may be processed by those providers solely to deliver the requested assessment and report. We do not sell your personal data.
